Enroll in your Benefits through Workday

On your first day, you’ll receive a task in Workday to enroll in benefits. Be sure to first check out our medical, dental, vision, life insurance, and other offerings to determine which plans best fit your needs. You can also see who you can cover under our plans.

IMPORTANT: Action is required for all new hires. You will be required to select a beneficiary(ies) for your company provided Life and AD&D benefits and submit the task in Workday, even if you want to waive medical coverage.

NOTE: New Hires must elect their 2024 benefits and will then be eligible to participate in Open Enrollment for their 2025 benefits. Once your 2024 benefit selection has been submitted and approved, you will see the OE event kick off.

You have 30 days from your hire date to enroll in benefits. You’ll see the Change Benefits for Life Event task in your Workday inbox on your first day. Enroll yourself and your dependents in whatever plan you choose, and be sure to add a beneficiary for your company provided Life and AD&D benefits.

Medical Plans: Samsara offers up to three medical plan options, depending on where you live. Please review the side-by-side comparison of medical plan benefits for information on your costs of care under each plan. If you miss the 30 day deadline, exceptions will not be made and you will need to waive coverage.

The sooner you make your elections, the sooner you'll have access to your benefits. Our files feed to the benefits carriers every Monday night, so access to your benefits will depend on when you submit in Workday (ex. if you submit the benefits Wednesday of your first week, our carriers will be notified the next Monday).

Samsara does not have a benefits eligibility waiting period. Therefore, new hire benefit and/or life event elections are effective the date of the event, regardless of when the elections are made. Once elections have been approved, you may be subject to retroactive deductions on the next pay check for your benefits back to the effective date. This means you will see a one time deduction to cover the missed pay periods along with your current benefit deductions. As the deductions are by the bi-weekly cycle, we are unable to prorate if your benefits were active at any point during that pay cycle.

Once your benefits are active, you can access your cards/IDs on the mobile apps.

  • Aetna Preferred Provider Organization (PPO) Plan–Available to all employees, except those in Hawaii

  • Aetna High Deductible Health Plan (HDHP)–Available to all employees, except those in Hawaii

  • Kaiser Permanente Health Maintenance Organization (HMO) Plan–Available to employees in California, Georgia, and Hawaii; plan provisions vary by location

  • Dental Plans: Samsara offers two dental plan options: the Guardian Dental PPO Plan and the Guardian Dental PPO Preferred Plan. Both plans allow you to visit the provider of your choice whenever you seek care, but your out-of-pocket costs are lower when you visit a provider in each plan’s network. The annual maximum benefit and the lifetime maximum orthodontia benefit are higher under the PPO Preferred Plan, which also covers adult orthodontia.

  • Vision Plan: Our Vision Plan, which is administered by Guardian, allows you to visit the provider of your choice whenever you seek care, but your out-of-pocket costs are lower when you visit a provider in the Vision Service Plan (VSP) Signature Network. The plan offers discounts on eyeglasses, contacts, LASIK and PRK procedures, and even hearing aids.

  • Flexible Spending Accounts (FSAs): Healthcare, Limited Purpose, and Dependent Care FSAs allow you to make pretax payroll contributions to savings accounts and submit claims for reimbursement as you incur eligible expenses.

  • Please note: The IRS announced 2024 maximum contribution amounts for participants in Healthcare and Limited Purpose Flexible Spending Accounts (FSAs) and Commuter Benefit Programs on November 9. The new amounts have been updated in Workday and are higher than amounts you may have seen in previous visits to the enrollment platform.

  • Supplemental / Voluntary Life Insurance Plan: Samsara automatically provides you with Basic Life Insurance Plan coverage equal to your annual salary (base + bonus/commissions), up to a maximum of $250,000. For added financial protection, you can elect Supplemental / Voluntary Life Insurance Plan coverage for yourself and your dependents.

Already have benefits?

You still need to complete the Change Benefits task in your Workday inbox within 30 days. If you waive medical coverage, you’ll then be asked to provide documentation of your other medical coverage (like a photo of your ID card or screenshot of your enrollment).

If you lose outside coverage for any reason, it will be a Qualifying Life Event and you can enroll in a Samsara medical plan within 30 days of losing coverage.

Set your 401(k) Contribution

Just 401(k), okay?

Planning for your future starts now—or, to be more accurate, in about one week. That’s how long it takes for new hires to be added to Fidelity’s system, which is where you can enroll in the Samsara 401(k) plan and take advantage of a 4% company match on your base salary. That’s free money. Every pay period. Seriously.

Typically, you’ll be able to access your account on the Wednesday of your start week. If you started on Tuesday due to a holiday on Monday, you will be able to access your account the Wednesday of the following week. If you have contributed to funds at a prior company, please make sure to email payroll@samsara.com with a copy of your last pay statement or a screenshot from your prior 401K provider platform showing your YTD contributions.
